Microsoft 365 Admin

This is a guide to support consistency across the Microsoft 365 Tenants Lincolnshire Scouts supports.

  • New Account Provision

    New Accounts should be provisioned on the tenant where a volunteer holds their primary role.


    The Create User form should be used for all new accounts.


    When checking the request, all tenents should be reviewed to ensure the volunteer doesn't already have a licenced account and that they are being provisioned on the correct tenant.

  • Aliases

    All aliases should be requested via the Service Desk.


    When provisioning an alias follow the guidance below;

    • Name related aliaes should be added to the individual volunteer's account.
    • Non-Personal aliases should be added as a Distribution List following the format <District/County> - <Group> - <Description>.
    • Ensure the settings allow external senders and that the list is a closed list so only Owners are able to add/remove users.
    • List Owners should be the System Support Service Account and relevant Lead Volunteer.
    • If a volunteer(/s) wish to send from their non-personal e-mail it should be setup as a Shared mailbox.
  • Shared Mailboxes

    Please submit all requests for additions to the County Website on the Service Desk.

  • Teams

    Teams should be created following the naming convention <District/County> - <<Group> - <Description> and they hidden from the Global Address List (GAL).

  • E-Mail Addresses where User has Account on Another Tenant

    Where a user wishes/needs to have an alias from a domain not on the tenant where they have a licenced account, this should be set up as a Mail User contact in Exchange.

  • Domain Names

    All domain names added to a Microsoft 365 tenat should use the Microsoft Name Servers and the DNS managed in the Microsoft Admin panel.
